Privacy Policy

Cool Event Asia is a community event directory for Asia. This policy explains what personal information we collect when you browse, sign in, submit an event, or buy a paid listing or Pro access, and what we do with it. It applies to cooleventasia.com and the pages and emails we operate.

1. Who we are

Cool Event Asia is operated by Melon Kotak Creative in Indonesia. For privacy questions or requests, email hello@cooleventasia.com.

2. What we collect

Account information

• Your email address, which we use to sign you in with a one-time code.
• Optional profile details such as your display name and profile photo.
• Your interests, regions, saved events, RSVPs and notification choices.

Organizer and event information

• Organizer name, email address, phone number, website and social handles you choose to provide.
• Event details, descriptions, dates, locations, prices, ticket links and images you submit.
• Listing tier and the payment reference for a paid submission.

Payments

When you pay for a listing or Pro access, we receive the amount, currency, status and a provider reference. Card or bank details are entered on the payment provider's page. We do not store full card numbers.

Technical and usage information

• IP address, browser and device type, pages visited, referring page, and approximate country.
• Server logs and error records needed to run and protect the service.
• A small amount of local browser storage for preferences such as your selected currency.

Communications

We keep the emails you send us, the emails we send you, and your unsubscribe choices.

3. How we use information

• To run the directory, sign you in, remember your interests, and show events you may want to attend.
• To review, edit and publish organizer submissions, and to contact organizers about them.
• To process paid listings, Pro access, and related payment and receipt records.
• To send transactional email such as sign-in codes, submission updates and payment confirmations.
• To send optional event alerts and Pro digests when you ask for them.
• To understand how the site is used, fix problems, prevent abuse and keep the service secure.
• To comply with the law and enforce our Terms of Service.

Where a legal basis is required, we rely on performing our contract with you, our legitimate interests in running and improving the service, your consent for optional messages, and legal obligations.

4. Cookies and local storage

We use a session cookie, a little browser storage for preferences, and a self-hosted analytics service. We do not use advertising or cross-site tracking cookies.

• A session cookie keeps you signed in. It is HttpOnly and is removed when it expires or you sign out.
• Local storage remembers preferences such as your chosen currency.
• Our self-hosted analytics service counts page views and records basic device information so we can see which pages are useful. It does not build advertising profiles.

You can clear cookies and site data in your browser. Sign-in and some preferences will reset if you do.

5. When we share information

We do not sell personal information. We share it only with providers that help us run the service, and only as needed:

• Cloudflare for hosting, database, file storage, security and content delivery.
• Resend for delivering email.
• Melon Kotak and its payment partners for checkout, payment processing and receipts.
• Pulse, our self-hosted analytics service, for aggregate usage measurement.
• Meta platforms when we publish public event announcements. Those posts use public event information and do not include member personal data.

We may also disclose information if required by law, to protect our rights or someone's safety, or as part of a merger or sale of the business, subject to appropriate safeguards.

6. International transfers

Our providers may process information in countries other than Indonesia. Where required, we use contractual and organizational safeguards for those transfers.

7. Retention

We keep account and profile information while your account is active. Published listings, payment records and related correspondence are kept for as long as needed to run the service and meet legal, tax and accounting obligations. Logs are kept for a shorter period. When information is no longer needed, we delete it or make it anonymous.

8. Security

We use HTTPS, access controls, and encryption for sensitive account tokens. No service can promise perfect security, so please use a secure email account and tell us if you think your account has been misused.

9. Your choices and rights

Depending on where you live, you may have the right to access, correct, delete, restrict or object to the use of your personal information, withdraw consent, or receive a portable copy. You can also unsubscribe from optional emails using the link in the message.

To make a request, email hello@cooleventasia.com. We may ask you to verify that you control the account or email address. We will respond within the time required by applicable law. You may also complain to the relevant data protection authority.

10. Children

The service is not directed to children under 13. If we learn that we have collected personal information from a child under 13, we will delete it. Contact us if you believe this has happened.

11. Other sites

Event pages may link to organizer websites, ticket pages and social profiles. Those sites have their own privacy policies, and we are not responsible for their practices.

12. Changes

We may update this policy as the service changes. We will post the new version here with a new date. If a change materially affects your rights, we will take reasonable steps to let you know.
